Here, you will find a lot of the tools, systems, and products that I use to help me run my tutoring center in an efficient and organized manner.  I have personally used each of the tools and feel confident recommending them.  Without most of these tools, I doubt my tutoring center would be as successful as it is today.  Each tool has played a special role in contributing to the profitability of my business.

QuickBooks

Every small business needs an accounting software system.  I can’t even begin to tell you how much I depend on mine to keep me straight when it comes to bookkeeping, payroll, taxes, and everything else financial.  I have been extremely pleased with QuickBooks Online and can’t recommend it enough.  The platform is super easy to use and has tons of great features.  I do all of my invoicing, accepting payments, tracking income and expenses, payroll, and taxes through QuickBooks Online.

ConvertKit

Email is a huge part of running a small business.  A tutoring center is no exception.  ConvertKit allows you to add automation and sequences to your emails.  You can also segment your email list into categories and groups.  With ConvertKit, you can also create landing pages and opt-in forms.  Once it’s set up, you’ll find that ConvertKit will make email marketing a whole lot easier.

Acuity Scheduling

Looking for a way to simplify the scheduling process?  Acuity is your answer!  Let parents sign up for a session that works best with their schedule.  But the best part is that they only get to choose from the days and times you make available.  They can also reschedule and pay online.  Acuity will even remind students of their appointments.  I use Acuity for our ala carte tutoring sessions and homework club.  Other tutors use it for all scheduling aspects.  Either way, I think you’ll find many uses for Acuity.

Evernote – Notetaking & Organizing

Can I just tell you how much I love Evernote????  I use it for EVERYTHING!  From taking notes to organizing ideas to making lists, Evernote is my go-to app for keeping my life straight.  Evernote is organized by notebooks that house individual notes.  Each note can be tagged, which makes searching really easy.  I have notebooks for everything you can imagine – one for each business that I own, travel, real estate investments, makeup (you know…when you’re in the store and can’t remember the exact color of the blush you can’t live without!), reading lists, recipes, etc.  I currently have over 25 notebooks with anywhere from 1-50 notes in each one.  Evernote keeps my life organized.  I highly, highly suggest that you get an Evernote account TODAY!!!!  You’ll thank me later.  🙂

Teamup – Shared Calendar

When you have multiple tutoring rooms that are shared by all of your tutors, it’s important that you have a shared calendar.  This way everyone knows which room is available when.  This becomes really important for rescheduling sessions.  I assign each tutoring room a color-coded calendar on TeamUp.  Tutors can log in at any time to see which rooms are booked and which rooms are open.  It also lets my office staff quickly glance to see who is in what room.  I’ve been very pleased with Teamup and it’s been instrumental in keeping our calendar straight.
